Join our team! The Procurement Program & Process Improvement Manager for the Global Services Center of Excellence (CoE) is responsible for leading and managing projects that support the strategic objectives and priorities of the CoE.

About the Role   

In this opportunity as a Procurement Program & Process Improvement Manager you will:   

  • Have full responsibility and accountability for the project outcome and success.
  • Proactively taking meeting minutes, ensuring distribution in the time frame established in the SOP, following up on open items, and appropriately escalating issues when necessary.
  • Lead the project planning activities, such as creating the project charter, defining the project objectives, scope, deliverables, stakeholders, resources, budget, timeline, team, roles, responsibilities, and other subsidiary plans.
  • Lead design thinking activities to facilitate problem-solving and strategy building for process improvement and solutions development.
  • Produce the project deliverables, such as reports, documents, software, hardware, training, etc., by completing the project activities and tasks, as well as by meeting the project requirements and specifications.
  • Monitor and control the project performance and progress, such as tracking and reporting the project status, managing and documenting the project changes and deviations, and resolving the project risks and issues.
  • Able to analyze and synthesize data to provide recommendations stakeholders and business partners when necessary.
  • Ensure the project quality and customer satisfaction, such as verifying and validating the project deliverables, measuring and evaluating the project results and impacts, and collecting and analyzing the stakeholder feedback and input.
  • Deliver and hand over the project outputs and outcomes, such as transferring the ownership and responsibility of the project deliverables to the project customers and beneficiaries, as well as ensuring the sustainability and usability of the project outcomes.
  • Evaluate and report the project results and impacts, such as summarizing and analyzing the project performance and progress, the project quality and customer satisfaction, the project changes and deviations, the project risks and issues, the project outputs and outcomes, and the project lessons learned.
  • Capture and document the project lessons learned, such as identifying and sharing the project successes and failures, the best practices and recommendations, and the improvement opportunities and actions.
  • Celebrate and recognize the project achievements and contributions, such as acknowledging and appreciating the project work, as well as celebrating and recognizing the project achievements and contributions.
  • Adopt and apply the project management methodology fit for the project, such as agile, waterfall, or hybrid, depending on the project characteristics and requirements.
  • Leverage business acumen and resource network, such as studying the environment, business trends, technology offerings, lessons learned from prior projects, resource capabilities and skills, to apply them effectively for the benefit of the project.
  • Drive decision-making to the lowest level possible, as well as encourage and support escalations, to ensure that the project issues and conflicts are resolved promptly and constructively.
  • Develop and implement the project communication and stakeholder engagement plan, such as defining the communication and engagement objectives, methods, frequency, channels, formats, roles, and responsibilities, to ensure that the project team and stakeholders are well-informed and well-involved in the project work.
  • Define and enforce the project governance, such as identifying the project sponsors, stakeholders, and decision-makers, as well as their roles, responsibilities, expectations, and communication channels, to ensure that the project decisions are made and approved by the appropriate authorities.
  • Establish and maintain the project routine and meeting cadence, such as determining the types, purposes, agendas, attendees, durations, and outputs of the project meetings, as well as the frequency, format, content, and distribution of the project status reports, to keep the project team and other relevant parties informed, engaged, and aligned on the project progress, issues, risks, changes, and decisions.
  • Define and assign the project roles and responsibilities, as well as follow up on the project deliverables and action items, to ensure that the project team members understand what is expected of them and what they should expect from one another.
  • Promote good working relationships, common sense, pragmatism, challenging, collaboration, communication, and learning within the project team and across other functions, to ensure that the project work is done efficiently and effectively.
  • Support other functions in Global Services (i.e. sourcing, real estate, business intelligence, digital enablement, etc.) and cross-functional teams to achieve their goals.
  • Proactively support the Program Manager in leading the creation and development of any materials needed by the Center of Excellence (presentations, emails, meeting minutes, meetings, etc.)

About You

You’re a fit for the role if your background includes:

  • Bachelor's degree or equivalent in project management or related field.
  • At least 3 years of experience in project management, preferably in a global or regional context.
  • Project management certification, such as PMP and Agile, is preferred.
  • Excellent level of English (written, spoken and understanding) is a must.
  • Advanced user of Excel and Power BI is required
  • Strong knowledge and skills in project management methodologies, tools, and techniques, such as project charter, work breakdown structure, Gantt chart, risk register, change request, quality assurance, quality control, etc.
  • Excellent communication and interpersonal skills, both verbal and written, with the ability to communicate effectively with different audiences and levels, as well as to influence and persuade others.
  • Experience in leading projects to develop low code/no code technology solutions.
  • Experience leading design thinking workshops and creating playbooks from them.
  • Excellent skills to create materials (presentations, one pagers, trainings, etc.) directed to different audiences.
  • Highly organized and detail-oriented, with the ability to plan, prioritize, and manage multiple tasks and projects simultaneously, as well as to meet deadlines and deliver results.
  • Proactive and problem-solving, with the ability to anticipate and prevent potential risks and issues, as well as to minimize and resolve actual ones.
  • Flexible and adaptable, with the ability to cope with changes and uncertainties, as well as to adjust and modify the project plans and actions accordingly.
  • Customer-focused and results-oriented, with the ability to meet or exceed the stakeholder needs and expectations, as well as the quality standards and criteria.
  • Team player and leader, with the ability to work effectively and collaboratively with diverse and cross-functional teams, as well as to motivate and inspire others.
  • Business savvy and resourceful, with the ability to leverage the environment, business trends, technology offerings, lessons learned from prior projects, resource capabilities and skills, for the benefit of the project.
  • Able to work in a hybrid environment considering the location of our offices is required.
